Step-by-step guide (4 steps)

In your Asana project, go to Customize > Rules. Create Rule 1: 'Trigger: Task is due in 2 days' → 'Action: Notify the assignee via email.' Customize the email to include the task name, project, and due date.

Rule 2: 'Trigger: Task is due today' → 'Action: Notify the assignee and add a comment to the task.' The comment creates a visible reminder in the task thread and notifies the assignee again via their notification settings.

Create the overdue escalation rule

Rule 3: 'Trigger: Task becomes overdue' → 'Action: Notify the task assignee AND the project owner.' This escalation ensures the manager knows about missed deadlines without having to check Asana manually.

TIP:

Add a custom field 'Escalation Level' (None, Yellow, Red) and have the overdue rule set it to Yellow. If still overdue after 24 hours, set to Red. Use this for visual dashboard reporting.
