Step-by-step guide (5 steps)
Build your DocuSign contract template
In DocuSign, create a template for your standard contract or proposal. Add signer fields where the client's name, company, and signature need to go. Use DocuSign template roles (e.g., 'Client', 'Authorized Signatory') rather than hardcoded names so the template works for any client.
Set up the CRM trigger in Zapier
Create a Zapier Zap with your CRM as the trigger: HubSpot 'Deal Stage Changed' or Salesforce 'Opportunity Updated'. Filter to trigger only when the deal stage changes to 'Proposal Sent' or equivalent.
Add a Zapier filter step to confirm the new stage value is exactly 'Proposal Sent'. Without this, the automation fires every time any field on the deal changes.
Map CRM deal fields to DocuSign
Add DocuSign as the action: 'Send Envelope from Template'. Select your contract template. Map CRM fields to the template roles: deal contact email → signer email, contact name → signer name, company name → company field, deal amount → contract value field.
Log the DocuSign envelope ID back to the CRM
Add a second Zapier action: update the CRM deal with the DocuSign envelope ID. This lets you look up the signing status directly from the CRM record without logging into DocuSign.
In HubSpot, create a custom deal property 'DocuSign Envelope ID' for this. Then you can build a HubSpot workflow that checks signing status automatically.
Test with a real deal
Move a test deal to the Proposal stage. Verify the DocuSign envelope arrives at the test email address within 1 minute with all fields correctly populated. Check that the envelope ID is recorded back in the CRM deal.
