Step-by-step guide (4 steps)
Create a #new-leads Slack channel
Create a dedicated #new-leads channel. Invite only sales team members and leadership. Set the channel description to make response expectations clear: 'New leads — respond within 15 minutes during business hours.'
Connect your lead sources to Zapier
Identify all lead sources: website contact form (Gravity Forms, Typeform), Calendly bookings, CRM form fills (HubSpot), paid ad leads (Facebook Lead Ads, Google). Create a separate Zap for each source, all posting to the same #new-leads Slack channel.
Format the Slack notification with full context
For each Zap, format the Slack message to include: Name, Company, Email, Phone, Source (where they came from), their message or form answers, and a link to their CRM record (create the record first, then link). The rep should have everything needed to follow up without leaving Slack.
Add a 'Lead Score' indicator based on basic qualification criteria: company size, budget mentioned, timeline. A quick 1-3 scoring in the Slack message helps reps prioritize which leads to call first.
Set up an acknowledgment convention
Establish team convention: a rep reacts with :eyes: to claim a lead. This prevents two reps following up with the same person. If no :eyes: reaction within 30 minutes, trigger an escalation Slack DM to the sales manager.
