Step-by-step guide (4 steps)

Set up Calendly as your Zapier trigger

In Zapier, select Calendly as the trigger app. Choose 'Invitee Created' (when booked) or 'Invitee Canceled' for cancellation handling. For post-meeting follow-up, use 'Invitee Created' + add a time delay.

Add a delay equal to meeting duration + 30 min

Add a Delay step: set to the length of your meeting type plus 30 minutes. For a 30-minute discovery call, delay by 60 minutes total so the follow-up goes out right after.

Send the follow-up via Gmail

Add Gmail as the action. Use the Calendly invitee's email as 'To.' Map in their name for personalization. Use a template that covers: recap of what was discussed, agreed next steps, and a calendar link for the follow-up meeting.
