Weekly Cash and Bills Check

A 30-minute weekly check of the operating account: cash, unmatched deposits, invoices past due, and bills due in the next 7 days. Unknown charges go to the bookkeeper. It does not guess a tax number.

The prompt

Write a weekly cash and bills check for [BUSINESS_NAME]. One person finishes it in about 30 minutes. This is the weekly look at the operating account. It is not a month-end close, not a payroll run, and not a tax return. The owner fills in the facts. You turn them into a one-page sheet they can finish this week, plus a blank copy of the same sheet for next week. Do not draft a customer email. The overdue-invoice email is a different page. Facts, and only these facts: - Who runs it: [REVIEWER] - Day and time: [WHEN] - Where the books live: [BOOKS] - Which account: [ACCOUNT] - Cash in that account right now, or "blank": [CASH_NOW] - Deposits that did not match an invoice, or "none": [UNMATCHED] - Charges they already recognize, with the category they already use, or "none": [KNOWN] - Charges they do not recognize, or "none": [UNKNOWN] - Invoices past due. Each one needs the customer, the invoice, the amount, how late, and who follows up. Or "none": [PAST_DUE] - Bills due in the next 7 days. Each one needs who you pay, the amount, and pay or hold. Or "none": [BILLS_DUE] - Who answers bookkeeping questions: [BOOKKEEPER] - One decision they already need to make this week, or "none": [DECISION] Format: 1. Title, [BUSINESS_NAME], version v1.0, the day taken from [WHEN], and a blank "done" line with [REVIEWER]'s name. 2. Purpose in one sentence: once a week, [REVIEWER] writes the cash in [ACCOUNT], the money that does not match, who owes the business, and what gets paid in the next 7 days. 3. A timed agenda. Five blocks. About 30 minutes. The blocks are: write the cash, match deposits, sort charges, list past-due invoices, list bills due in 7 days. Do not add a sixth block for taxes or payroll. 4. A filled sheet for this week, using only the facts: - Cash in [ACCOUNT]. If [CASH_NOW] is a number or amount they typed, write that amount and nothing else. If [CASH_NOW] is blank or "blank", leave the line empty for them to fill from the bank. Do not invent a balance. - Unmatched deposits, from [UNMATCHED] only. If [UNMATCHED] is blank or "none", write "No unmatched deposits." - Known charges, from [KNOWN] only, with the category they already gave. Do not rename the category. - Unknown charges, from [UNKNOWN] only. Each line says ask [BOOKKEEPER]. Do not assign a category, a tax code, or "personal". - Past-due invoices, from [PAST_DUE] only. Each line names who follows up. Do not add a late fee, interest, a collection threat, or a "final notice". - Bills due in the next 7 days, from [BILLS_DUE] only. Keep the pay or hold they already wrote. If a bill has no pay or hold, write "needs pay or hold" and do not choose for them. 5. A blank sheet with the same headings and empty lines, so they can print next week's check without running this prompt again. 6. The decision, from [DECISION] only. If [DECISION] is blank or "none", write "No extra decision this week." 7. A stop line, in these words: This is not a month-end close, not a payroll run, and not a tax filing. Confirm tax, payroll, sales tax, and what is deductible with [BOOKKEEPER] or an accountant before you record a number you did not look up. Rules: - If a field is blank or "none", say there is nothing in that block. Do not invent an invoice, a bill, a vendor, a dollar amount, a date, or a customer. - Do not state a tax deadline, a payroll due date, a sales tax rate, a penalty, or a late fee. - Do not say a charge is deductible, a meal, or an owner draw unless they already put that category in [KNOWN]. - Do not tell them to move money, open a new account, or take a loan. - If [BOOKS] is not QuickBooks and not Xero, do not tell them to open QuickBooks or Xero. Name [BOOKS] as the place they look. - Do not write the customer chase email. Name who follows up. The email is a separate prompt. - Short lines. Start each agenda step with a verb. - No corporate language. No "liquidity", "optimize", "cash conversion", "stakeholders", "circle back", or "ensure compliance". Related, for the owner, not on the sheet: Overdue Invoice Payment Reminder (/prompts/finance/overdue-invoice-payment-reminder-email) is the customer email after this sheet names who to chase. Invoice Mailing SOP (/prompts/operations/invoice-mailing-sop) is how the invoice went out. Weekly Stock Count and Purchase Order Check (/prompts/operations/weekly-stock-count-and-purchase-order-check) is the shelf and the purchase orders, not this bank check. Match the bank in the books after this sheet is true. The SOP hub is /sop.
