What is data retention for AI tools?
Data retention is how long a tool keeps what you put in it: chats, files, logs, and backups. The vendor's setting and your own habit are both part of it. A long memory in the product is not the same as a retention rule you chose.
In plain English
Some plans let you turn off training on your data. Some keep chats until you delete them. Some backups outlive the delete button. You will not learn that from the feature list. You learn it from the vendor's current privacy or admin docs. This page cannot promise what a vendor does this month.
How an owner would use it
For each approved tool, write down what you believe it stores and the link where you read it. Delete test chats that contain real customer detail. Do not use a consumer chat as the archive of record. The medical chart, the invoice, and the job file stay in their systems.
Common mistakes
Assuming delete means every backup is gone is the miss. So is keeping everything forever because it might be useful. Retention should match the job: a draft of a reminder does not need a five-year archive inside an AI vendor. Do not treat this as legal advice. If you handle health or payment data, ask the person who already handles those contracts which tools are allowed.
A worked example
A vet clinic
The chat is not the chart
This is an illustration, not a customer result. Staff may draft a post-visit note from bullets a tech typed. They do not paste full charts into a personal chat. The company tool's history is reviewed with the vendor's current retention page, and the official note still lives in the clinic software.

Questions owners ask
What is data retention?
It is how long information stays in a system after you create it, including chats and files in an AI tool, and what delete actually removes.
How do I set retention for an AI app?
Read the vendor's current admin docs, pick the shortest history that still lets you answer 'what went out last week,' and ban tools that will not tell you.
Does turning off model training delete my chats?
Not necessarily. Training use and storage are different switches. Check both in the vendor's documentation instead of assuming one covers the other.
