What is brand voice for AI drafts?

Brand voice is how your business sounds when it writes: the words you use, the words you refuse, and the length you actually send. In an AI tool it belongs in standing instructions plus a few real examples, not in a mood board.

Also called: tone of voice, style guide

In plain English

'Friendly, premium, and authentic' is not a voice. Three of your real emails are a voice. A style guide helps if it names banned phrases and shows a before and after. Tone of voice is the same topic. The model will drift toward generic marketing unless the examples are yours. Collect five sentences you actually sent and liked, and five you would not send again. That pile is the voice guide. Adjectives like warm and premium mean different things to each employee. The examples do not. Ban the phrases that make you sound like a template, and put those bans where the draft is born. Read the draft out loud at the counter. If you would be embarrassed to say it to a regular, it is not your voice yet.

How an owner would use it

Save five sent messages you would repeat. Note phrases you hate. Put both in the company tool. When a draft sounds like a brochure, do not publish it and call it the brand.

Common mistakes

A voice paragraph with no examples gets you the same cheerful draft every other shop gets. Letting each employee keep a private voice in a personal account splits the brand and creates shadow AI. Do not ask the model to mimic a celebrity or a competitor's slogan. That is a different problem than sounding like you.

A worked example

A coffee roaster

The wholesale note sounds like the owner

This is an illustration, not a customer result. The standing instructions say: short, no exclamation points, say the farm name only if it is in the notes, never invent a tasting note. Two old emails are attached as examples. A new wholesale follow-up uses this week's roast list and nothing else.

Questions owners ask

What is brand voice?

It is the specific way your business writes, concrete enough that a draft can be judged against it.

How do I teach brand voice to an AI tool?

Put a few real sent examples and a short ban list in the standing instructions. Judge new drafts against those examples, not against a list of adjectives.

What is a style guide in this context?

A style guide is the written version of the voice: words you use, words you skip, and how you handle prices and names. If it is only adjectives, it will not steer the model.
