What is a token?

A token is a chunk of text the model counts. A short word may be one token. A long word or a number may be several. Plans and context windows are often measured in tokens, not words.

Also called: tokens

In plain English

You do not need to count tokens by hand. You need to know that a 40-page paste is heavier than a 10-line brief, and that some vendors bill or cap usage in tokens. Meta's Muse plans, for example, publish a weekly token allowance. Pasting your whole inbox is a good way to hit a cap and a bad way to get a sharp answer. Count roughly if the bill surprised you. A page of plain email is a few hundred tokens, not a mystery. Screenshots, long PDFs, and chat history cost more than the sentence you typed. If a vendor sells tokens, ask whether the quote counts what you send and what comes back. Then run one normal week before you promise the team it is cheap.

How an owner would use it

Send the model the rows that matter, not the export of everything. If a vendor shows a token meter, treat it like minutes on a phone plan: enough for real work, not a reason to dump the hard drive in.

Common mistakes

Counting tokens by hand is a waste. The real mistake is the opposite: ignoring them until a weekly cap stops the front desk on a Saturday. Tokens are also not words one for one, so a spreadsheet full of codes is heavier than it looks. Do not buy a plan based on a token number you cannot picture. Paste one real job, see what the meter did, and then decide.

A worked example

A screen printing shop

The job ticket, not the archive

This is an illustration, not a customer result. The owner used to paste a year of order emails to ask for a pickup text. The useful version is the ticket: garment, color count, due date, balance, and the sentence they want. The text gets sharper and the usage stays small.

Questions owners ask

What is a token?

A token is a piece of text an AI model counts. Usage limits and context windows are often set in tokens rather than words or messages.

How do I use tokens wisely?

Paste only the facts the draft needs. Keep a standing prompt short. Save the long history in your files, and retrieve the one page you need.

Are tokens the same as words?

No. A short word may be one token. A long word, a name, or a number may be several. Vendors measure plans and context in tokens because that is what the model counts.
