What is a source of truth?
A source of truth is the system you trust for a given fact. The price in the point of sale beats a price in a chat. A system of record is another name for that home. Data sync copies facts between systems. It does not decide which one wins.

Agents create extra copies: a draft, a memory, a retrieved PDF. Those copies go stale. Before you connect anything, say where the price lives, where the appointment lives, and where the customer balance lives. The assistant may read a copy. It should not be the place you correct the fact. Point at one screen and say 'if it is not here, it is not real.' The chat, the text thread, and the sticky note can feed that screen. They do not replace it. When two tools disagree, the source of truth wins and the other one gets fixed. Write the name of that system in the SOP so a new hire does not crown a spreadsheet by accident. If a field exists in two tools, pick the winner in writing. Ties are how deposits get entered twice.
How an owner would use it
Write three lines: prices live here, schedule lives here, customer payments live here. When a draft disagrees, the source wins and the draft is deleted. If two systems both claim the price, fix that before you add AI.
Common mistakes
Letting the assistant become the source because it is where people look first will rot your books. Syncing two systems without a winner creates two truths. Do not paste a corrected number only into the chat and call the job done. Correct the system, then draft.

This is an illustration, not a customer result. A chat draft quotes a board foot price from an old email. The yard's counter system shows a different number. The salesperson uses the counter system and does not 'update' it from the chat. The old email is not forwarded again.
